Dismissal/Pick-Up Procedures

PLEASE NOTE: ALL VISITORS MUST SHOW PHOTO ID TO ENTER THE BUILDING. NO EXCEPTIONS.
The Attendance Office (279-2087 x 4112) handles pickups, dismissal, and bus changes. Please complete and sign the attached "Dismissal/Pick-Up Authorization Form" (Form ‘A’). This authorization list is for a school emergency, i.e., a student is sent home sick, and the student needs to be picked up by someone other than a parent; it is not for regular pickups. *** Please note if someone other than a parent/guardian will be picking up a child at dismissal, we require prior notification that day in writing. Anyone picking up a child (including parents, step-parents, and guardians) must be prepared to show a valid, government-issued photo ID (driver’s license, passport, military ID) when requested. No child will be released to anyone who cannot produce appropriate ID when requested.
Pick Up Procedures:
Pick up is in the Gym at 3:20 p.m. Parents will enter through the parking lot side of the building via the ramp to the Gym hallway and wait in the Cafeteria until all students are checked into the Gym.
If your child will be picked up:
- On the same day every week (i.e., every Tuesday) OR everyday (Monday through Friday) please complete the "Dismissal/Pick-Up Authorization Form" (Form “A”) and indicate the name of the person picking up your child, which must match the ID of that person. When your child will no longer be picked up, please send in a note indicating this change.
- On any given day please send in a signed note – legibly written – on that day. Include the date, the child’s first and last names (especially important if you have a different surname), teacher’s name, and the name of the person picking up (i.e.: “John Smith,” not “Grandpa”). Please note that the ID of the person picking up your child must match the name on your note. If you have not sent in a note but it becomes necessary for you to pick up your child, please notify the Attendance Office (279-2087 x 4112) no later than 2:15 p.m . Calls after 2:15 p.m. cannot be honored due to the time constraints in notifying your child's teacher. Please do not just show up at dismissal, as this delays dismissal for the entire school. Please call the Attendance office (279-2087 x 4112) with questions or concerns about your child's dismissal arrangements.
- Pickups at the attendance window cannot be accommodated after 3:00 p.m. On scheduled early dismissal days window pickups cannot be accommodated after 11:00 a.m. If your child is normally picked up on a certain day of the week and s/he needs to take the bus instead, please send in a signed note that day indicating the bus number and destination (ex: J-23, babysitter; or J-22, home). This is especially important if your child takes more than one bus. Please do not send in notes saying “Johnny will take his regular bus home today.” We cannot always determine whether that is a babysitter bus or the home bus.
Bus Procedures:Please be aware of our Board of Education Policy #5710 regarding children's transportation. We cannot transport children to birthday parties, Scouts, after school lessons, play dates, etc. We manage the transportation of almost 600 children after school, so we need to be extremely diligent when getting the children safely home and to their regularly designated drop-off locations. We cannot accommodate individual requests for situations mentioned above.
- For your child’s safety, please note that we cannot accept phone call requests to change your child’s bus. A written, signed request indicating the date, the child’s name, teacher, bus number and bus stop (ex: J-23, 99 Main Street) and the name of the person receiving your child from the bus must be sent in with the student or hand-delivered or faxed to the office prior to 2:00pm. Our fax number is (845)-279-7638. Do not send your requests to the Transportation Department as this is a formal process that is approved through the school's Attendance Office. If someone other than a parent/step-parent/guardian will be receiving a child off the bus, please complete and return the "Parent Permission Slip." Phone numbers are mandatory for every person listed on the form. Please return this form to parentpermission@brewsterschools.org.
- If your child will be taking a different bus home one or more days every week, or only on occasion please complete the "Alternate Transportation Form." Please note Transportation requires 10 days for processing. Please return this form to alternatetransportation@brewsterschools.org.
- Important Note for Early Dismissal Days:
- Scheduled Early Dismissal Day: These days appear on the school calendar. If your child will be taking a different bus on a scheduled early dismissal day (i.e., parent-teacher conference day) you MUST complete the “Alternate Transportation Form” sections A and B and indicate “as needed” for Section B, AND you must send in a note that day informing us of the change. Please return the form to alternatetransportation@brewsterschools.org.
- Unplanned Early Dismissal Days: These days are usually, but not always, weather related and accordingly are not on the school calendar. Parents are usually notified in the morning of the same day. If your child will be taking a different bus on these days the "Alternate Transportation Form" is required. Please make sure you check Section "C" and provide the desired bus stop location. Please return the form to alternatetransportation@brewsterschools.org.
- Scheduled Early Dismissal Day: These days appear on the school calendar. If your child will be taking a different bus on a scheduled early dismissal day (i.e., parent-teacher conference day) you MUST complete the “Alternate Transportation Form” sections A and B and indicate “as needed” for Section B, AND you must send in a note that day informing us of the change. Please return the form to alternatetransportation@brewsterschools.org.
We strongly recommend that all students take the bus home on these days. Please note that we cannot accommodate early and/or unplanned parent pickups on these days.
After School ActivitiesWhen after school activities are cancelled (usually, but not always, weather related) school ends at regular time.
- If your child participates in an after-school activity, such as Girl/Boy Scouts, etc., that DOES NOT MEET EVERY WEEK , please send in a note EACH DAY the child will be picked up for the activity. Please do not send in notes listing various meeting dates. Please indicate the activity and the name of the person signing the child out.
- For CCD: We do not know when CCD begins/ends or is in session. Parents/guardians need to inform us of their child’s dismissal arrangements on those dates. Please understand that our students attend several different CCD programs and it is not possible for us to monitor the various schedules. If your child is normally picked up for CCD every week s/he will be sent to the Gym for pick up unless we have a note from you indicating other arrangements.
Please know that your child's safety and comfort are our top priority. It is the parents'/guardians' responsibility to make an emergency plan in advance and communicate that to their child. It can be very anxiety-provoking to students when they are not sure of their dismissal plans. By adhering to these procedures, dismissal time will run smoothly and efficiently.
